Planning group transportation comes with a lot of details. This FAQ page answers common questions about booking a charter bus, requesting a quote, choosing the right vehicle, onboard policies, driver requirements, safety procedures, accessibility, border travel, and day-of-trip logistics.

Booking and Payment FAQs

A quote is often the initial contact you receive from our sales team when we follow up with an inquiry that came in whether it be from a phone call, email, or website request. It will show the total price of our services based on your request. Bus is not finalized at this stage yet.

At the quote stage, your bus is not finalized or reserved. Your booking is only confirmed once you approve the quote, return the required paperwork, and provide the required deposit.

When you respond to a quote and ask to book the bus, you will receive as confirmation shortly afterwards. This must be signed and returned to the sales team. The Bus is confirmed to be booked in at this point and will require a deposit. This will be paired with the terms and conditions for additional information regarding booking with Denny’s Bus Lines.

To confirm your booking, Denny’s Bus Lines requires a deposit. A $250.00 deposit is due at time of booking to confirm the charter.

Final payment must be received in our office 14 days prior to your scheduled departure date. 

To request a quote, it helps to provide your travel date, pickup and drop-off locations, destination, passenger count, departure and return times, number of stops, luggage or equipment needs, accessibility requirements, and whether the trip is one-way, round-trip, or multi-day.
The more information you can provide upfront, the more accurate your quote will be. If your itinerary is still being finalized, our team can still help guide the quoting process.

We recommend booking as early as possible, especially for school trips, weddings, corporate events, tours, sports tournaments, festival transportation, and busy travel seasons. Booking early gives your group more vehicle availability and more time to finalize trip details.
Last-minute requests may still be possible depending on fleet and driver availability. Contact our team directly if you need urgent transportation support.

Please keep in mind that all applicable fees, such as tolls, parking, gratuity, admission, and related taxes are not included in the price quoted or confirmed and will require payment upon your return. Additional costs may also apply for itinerary changes, extra stops, extended driver time, overnight trips, driver accommodations, or other trip-specific requirements. Please review your confirmation and ask our team if you have questions about what is included.

Charter bus pricing can vary based on the date, distance, travel time, vehicle type, driver time, number of stops, trip duration, parking, tolls, overnight requirements, and overall itinerary. A local shuttle, full-day event, long-distance tour, and multi-day trip may all be priced differently because they require different planning, time, and resources.

Itinerary changes may be possible, depending on availability, timing, driver hours, routing, and the type of change requested. Please contact Denny’s Bus Lines as soon as possible if your pickup location, destination, schedule, passenger count, or number of stops changes.
Changes may affect the final price or require an updated confirmation.

Denny’s Bus Lines will not cancel your bus unless there are roads closed on the route of the trip due to weather, or payment/confirmation was not received. If you need to cancel:

  • 30 days before departure will be fully refundable,
  • 30-15 days before departure will be subject to a $250 cancellation fee,
  • 14 days or less will be 100% non-refundable

Refunded back through credit card or cheque in the mail. If inclement weather is affecting your trip, we do require at least a 12-hour notice of cancellation.

The best bus depends on your group size, destination, trip length, luggage needs, accessibility requirements, and onboard comfort preferences. For example, larger groups and long-distance trips may be best suited to a motor coach, while smaller groups may prefer a mini coach or Sprinter Van.

If you are unsure which vehicle to choose, Denny’s Bus Lines can recommend an option based on your itinerary and passenger needs.

No. Storage availability depends on the vehicle. Some vehicles include large luggage bays or underneath storage, while smaller vehicles may have limited or no luggage storage. Let our team know if your group is travelling with suitcases, sports equipment, instruments, coolers, mobility equipment, or other large items.

No. Washroom availability depends on the vehicle. If an onboard washroom is important for your trip, please mention this when requesting your quote so our team can recommend an appropriate option.

Wi-Fi may be available by request on select vehicles. Please ask about Wi-Fi availability when requesting your quote, as features can vary by vehicle and trip type.

Food and non-alcoholic beverages drinks are allowed on board as long as everyone remains respectful to the bus and driver. Please keep in mind any damage or excessive mess will result in extra service fees.

Groups are encouraged to clean up after themselves and avoid bringing items that could spill, stain, or create strong odours.

Drinking alcohol and the smoking of cigarettes, vapes, or other substances is strictly prohibited on board the bus.

Driver Policies and Responsibilities FAQs

Our trainers consistently monitor our drivers and their history. This includes:

  • Random drug and alcohol testing for all drivers, medicals, licensing, and hours of service to ensure they follow federal regulations.
  • Mandatory training, licensing, and certification in first aid and defensive driving.

Canada: A driver can drive the bus up to 13 hours within a 16-hour day. To restart this on duty clock, they must be given 8 hours of uninterrupted time off.

USA: A driver can drive the bus up to 10 hours within a 15-hour workday, with the same requirements.

If your trip exceeds these limits, a spot driver will be added to the route an additional cost. To avoid scheduling issues, we recommend planning for a 12-hour day with the driver.

Gratuity is at the client’s discretion. If you choose to tip your driver, you can offer a percentage on the invoice or give the driver payment in person at the time of the trip. Typically, 10% – 20% is a good estimate.

For overnight trips, clients are responsible for booking the driver’s accommodation. Our team can recommend convenient lodging options if needed.

Safety and Maintenance FAQs

Denny’s Bus Lines follows regular inspection and preventative maintenance procedures to support safe and reliable group transportation. Vehicles are maintained in accordance with applicable transportation requirements and internal safety procedures.

If a safety concern is identified before departure, the vehicle will be reviewed and addressed before being placed into service. Passenger safety is always the priority.

For school groups, camps, youth groups, and supervised trips, clear communication and organized loading procedures are important. Denny’s Bus Lines works with trip organizers to confirm pickup and drop-off locations, passenger counts, timing, and any special transportation requirements before the trip.

Teachers, supervisors, and group leaders are responsible for passenger supervision, while Denny’s supports safe and organized transportation procedures.

Travel Requirements and Logistics FAQs

For cross-border trips to the U.S., passengers need valid passports or travel documents. Our drivers are experienced in handling customs procedures, making border crossings smooth and efficient.

Only the 56 Passenger Motor Coach is approved for cross-border U.S. travel. All other vehicles are intended for travel within Canada unless otherwise confirmed by Denny’s Bus Lines.

Passengers are responsible for carrying the proper travel documents and meeting border entry requirements. Border crossing times can vary, so groups should build extra time into the itinerary.

Yes, multiple stops may be possible depending on your schedule, route, driver hours, and vehicle availability. Please include all planned stops when requesting your quote so they can be factored into the itinerary and pricing.

We recommend having passengers arrive early enough to allow time for check-in, loading, seating, and any group instructions before departure. For larger groups, schools, events, airports, and time-sensitive trips, additional loading time may be needed.

In some cases, yes. Whether the bus can wait depends on your itinerary, driver schedule, location, parking availability, and trip duration. Please let our team know if you need the bus to remain on-site or return later for pickup.

Families and children requiring car seats or harnesses are welcome.

Yes, our office provides 24/7 support for emergencies and unexpected situations. If your trip faces delays or issues, you can contact our after-hours team for immediate assistance. Our on-call dispatcher phone number is 519-803-7089.

If your bus were to break down while en route or during the trip, the driver will get in contact with dispatch immediately to send a replacement bus and/or mechanic. If you are far away from our lot, we have many connections with other carriers and are always happy to help each other! We will work as fast as possible to ensure minimal delays or discomfort.

While we aim to stay on schedule, unforeseen events like traffic or weather may cause delays. Our team will keep you updated and adjust plans as necessary.
